Crossmeads Lettings and Property Management aim to provide a fast and refreshing service. We want to get you referenced as quickly and as smoothly as possible so that you can move in to your new home with minimal delays. All rental offers will be submitted to the Landlord within 24 hours of receipt, subject to the Landlords availability.

Each additional adult application thereafter: £75.00 + VAT (£90.00)

Company Tenant: £300.00 + VAT (£360.00)

Agricultural Tenant £100.00 + VAT (£120.00)


When you have viewed and selected a Property a non-refundable administration charge is required which enables Crossmeads to reserve the Property for you subject to contract and references that are satisfactory. This does not in anyway form a contract/tenancy or any obligation upon us or the Landlord. Crossmeads will advise any other applicants that the property is under offer.


In order to successfully complete your application there are a few documents required such as proof of identity for each Tenant. This can be any of the following:

1. Passport 3. Military ID Card

2. Driving Licence

In Addition Crossmeads require proof of residency which can be any of the following:

1. Current Local Authority Tax Bill 3. Bank Statement

2. Utility Bill 4. Credit Card Statement

(Please note that the proof of residency documents need to be less than 3 months old)



You will receive your application forms via e-mail. If you do not have e-mail then you are welcome to pick up an application form and or fill one out in our office. The application is submitted to our credit referencing agency. The ensure that the referencing company complete your application on time, please complete all of the questions in full such and add fax, e-mail and telephone details for employers. At any time during this process you would like an update you can call the office on 01243 778825.

As soon as we receive a reply from the referencing agency we will let you know the result of the application and your confirmation letter will be sent to you. A full reference will normally take between 3-4 days but may take longer if the agency has difficulty in contacting people on your application. It is your responsibility to let people know that they may be contacted for a reference. The referencing report will be communicated to the landlord for approval as soon as the result is received.

Please be advised that your basic annual income needs to be at least 30 times the monthly rent in order to comply with the referencing criteria. Please discuss your situation with your Lettings Consultant if you have any queries. Any detrimental or false credit information may adversely affect your application and you will forfeit your administration charge as it is non-refundable. If you do not pass the referencing procedure you will be advised of this, and will also be advised if you can re-apply using a Guarantor. The Guarantor will also have to undergo the referencing procedure. Should your financial or personal situation change between your offer being accepted and moving in, you must notify us in writing prior to signing the Tenancy Agreement.


It is the landlords responsibility under the terms of the tenancy agreement to provide buildings insurance, the landlord is not liable for the tenants belongings. It is a condition to advise Tenants that they are required to take out appropriate contents insurance, which includes third party cover for the Landlord, as specified in the terms and conditions of your Tenancy Agreement.Insurance must be in place as soon as the Tenancy commences.


If the Landlord has given permission for pets to be kept at the property, then an additional Tenancy Deposit of £200.00 per pet will be due. This sum may vary according to the requirements of the Landlord. This figure will be confirmed to you upon application.


During the last 2 months of your Tenancy we will write to you asking if you would like to renew. There will be a further administration charge of £85.00 + VAT (£102.00) to prepare your documentation.If rent for the tenancy is paid in full and in advance, any renewal will be under the same terms unless a further reference fee is paid and suitable references obtained to confirm monthly rent payments via Standing Order Mandate are acceptable.

1. Tenancy Deposit: a deposit equal to 1.5 times rent or on rents over £1,000 per calendar month please discuss this with your Lettings Adviser.This will also be confirmed in writing.(The Tenancy Deposit will be held in accordance with the My Deposits Protection Scheme)

There is a Bounced Cheque Administration Fee of £ 40.00 + VAT (£48.00). Cheques will need to have cleared before you take tenure of a property, Crossmeads will not release keys unless the monies have cleared.


Prior to the commencement of the tenancy, preparation of an inventory and a pre-tenancy inventory check in will be carried out.This will be at the expense of the landlord. When the tenancy commences, you will be provided with a copy of the inventory and so will the landlord. You must check this carefully and notify us of any issues arising within 48 hours. After the 48 hours the inventory will be deemed as acceptable matching the true likeness of the condition the property was let to you in.Crossmeads must have in our possession cleared funds, a signed Tenancy Agreement by all parties, completed references, photographic I.D, proof of residency, details of appropriate Contents Insurance and a completed Standing Order Mandate before we can hand keys over to you.


Your rent is payable in advance and should reach our account on the rent due date as specified in your Tenancy Agreement.Rent is paid by Standing Order Mandate, rent will leave your account 2 days before it is due to enable it to reach our account on the due date. Standing Orders are your instructions to your bank to pay Crossmeads Limited.They cannot be cancelled or changed by Crossmeads Limited once they are set up.Only one Standing Order is acceptable for payment of rent as we cannot accept multiple split payments.To ensure a single payment as Standing Order, you may wish to enquire about starting a house account with the other tenants.

Please note: notification of late payment of rent is charged at £25.00 + VAT (£30.00). Legal notes are charged at £75.00 + VAT (£90.00)


Your Tenancy Deposit will be held as Stakeholder in accordance with the Tenancy Deposit Protection Scheme, which means that it can be released as soon as both parties agree. You agree to the Check Out administration charge of £75.00 + VAT (£90.00) being deducted from the deposit when it is returned. Please refer to your Tenancy Agreement.

These will be clearly defined in your Tenancy Agreement. Your Lettings Adviser will be able to answer any queries you may have.


Crossmeads will endeavour to notify the relevant gas, electric, water and Council Tax companies on behalf when you move into the property.If your Landlord checks you in, you may have to change the utilities yourself.You will be responsible for paying these accounts for the duration of the Tenancy unless otherwise stated in your Tenancy Agreement.Telecommunications companies will not accept instructions from third parties and therefore neither the Landlord nor Crossmeads can be responsible for ensuring there is a working active line available to you.If you are moving into a property that has not had a telephone line connected previously or it has been vacant for three months or more then it will be your responsibility to pay the BT or any other provider’s connection fee. It is also the Tenant’s responsibility to provide a television licence. If you wish to change suppliers please let us know by e-mail or in writing so we can update our records. Some apartment blocks require residents to purchase and display a valid parking permit when using the communal/allocated parking area. It is the responsibility of the Tenant to obtain and pay for such a permit for the duration of the tenancy.Failure to display a valid parking permit may result in the vehicle being clamped and the owner fined.


Information supplied will be held on our computer system under the Data Protection Act 1998. With regards to works in the property, contractors will contact you directly to gain access to the property. The contractor will have your contact details and will arrange a suitable time for both parties. Crossmeads will also supply revelant utility suppliers and council tax your information for when you move into your new home.


When you receive notification that the Tenancy will not be renewed, either Crossmeads Limited or the Landlord will contact you to discuss the end of tenancy procedures. An inventory check-out will need to be arranged and a report of any dilapidations completed. A thorough professional clean of the property should be implemented, as the Tenant may incur additional costs if the property and garden is not in the same condition as at the commencement of the Tenancy.Please note that all keys to the property will need to be returned prior to the inventory check-out. (Please see your checkin documents and refer to the photocopy of the keys you were given.) No further access will be granted following completion of the report. The checkout fee is £55.00 + VAT and this will be taken off of your deposit once the property has been vacated and the checkout report has been completed.
